Stallholder Terms & Conditions

Please read through our terms and conditions carefully.

The Spring Vegan Festival is organized by Animal Liberation Victoria (ALV). Acceptance and non-acceptance of stallholder applications will be at the sole discretion of ALV’s Spring Vegan Festival Planning committee. Please understand that your application is reviewed on many levels with the primary one being that businesses/organisations, artists, speakers and performers must be 100% vegan.

Stalls will be allocated once full payment and proof of public liability insurance have been received.

INSURANCE

Stallholders must have their own Public Liability Insurance of a minimum coverage of $10 million (proof of coverage must be provided in the form of the Certificate of Currency).

ALV will not be responsible for any loss, damage or theft which may occur to the stallholder’s goods or equipment during the event.

FOOD STALLS or TRUCKS

It is the stallholder’s responsibility to apply to the City of Port Phillip Council via streatrader.com.au and obtain and pay any registration required to trade as a food stall at the Spring Vegan Festival.

Stallholders must supply copies of registration and a Statement of Trade (SOT) upon submitting their payment and PLI, and also have all necessary documentation with them on the day. Food stallholders must comply with any local / state / federal health regulations and food acts. ALV holds no responsibility for loss of trade if proper documentation is not held.

No naked flames, exhaust fans or frying is to take place inside the venue. Food stalls and trucks who will be cooking food onsite will be located in the garden area.

STALL SIZES & PRICING

Stall sizes and pricing are as per the table below. Units are in metres.

STALL SET UP

The venue is heritage listed. The fittings and fixtures of the venue, including but not limited to floors, walls, curtains and furniture must not be broken, pierced by nails or screws or in any other way damaged.

The placement of adhesive tape on the floors, walls, fixtures, fittings or any painted area within the venue is strictly forbidden.

Outside stalls must be weighted and not pegged when on grassland.

Cable covers must be used for cable or trip hazards running across pathways or pedestrian areas.

No balloons (including helium filled) may be used at the event.

Stalls are not permitted to extend beyond the allocated stall area.

Spring Vegan Festival trading hours will be from 11am until 6pm.

BUMP IN: Sunday 6-10am. We will do our best to offer you your chosen bump in time, and stallholders must ensure that all of their stall items are delivered during that period. You should be set up and ready to trade by 11am on Sunday.

BUMP OUT: Sunday 6:15pm onwards. Stallholders must not pack up and leave prior to the end of the event.

Note that cars are not allowed in the venue.

Stall equipment must be erected securely and weighed or secured at all times. All equipment must be in good repair and be operated in a safe manner. All stallholder equipment must remain within the stall site. For the safety of others, public access ways must remain clear at all times.

Please ensure that your stall is kept tidy, with excess stock stored away out of site. Table cloths or covering must be used.

Any graphic or disturbing images must have prior approval, otherwise you may be asked to remove them on the day.

PRODUCTS and/or SERVICES

All products/services must be 100% vegan and listed on your application form. ALV reserves the right to ask you to remove any products that are not listed on your application.

Stallholders are not permitted to sell any item/items deemed by ALV to be offensive, illegal or prohibited.

OH & S

All stallholders are expected to abide by any and all safety regulations and requirements.

ANIMAL COMPANIONS

No companion animals are allowed in the venue.

SUB-LEASING

Under no circumstances will any stalls or spaces be sub-let.

WASTE MANAGEMENT

Stallholders are responsible for removing all waste from their stall at the end of the event.

This is a single-use plastic free event. Therefore please avoid use of plastic bags, plastic cutlery, cups and takeaway containers. Use of biodegradable/recyclable items are encouraged.

CODE OF CONDUCT

While setting up as well as packing please be mindful of other stallholders, not to encroach on their space or obstruct access to their stall.

Stallholders must comply with the terms and conditions and must comply with any relevant local government and other statutory laws and regulations. Stallholders must report to the Spring Vegan Festival Stalls Coordinator any incident or accident to any person or property that involves loss or could be expected to give rise to a claim.

Stallholders must not cause damage, make alterations or additions, of any nature to, or carry out works of any nature to the venue. If any damage is caused, the costs of any repairs, making good or replacement are borne by the stallholder.

PAYMENTS AND REFUNDS

PAYMENTS

Full payment must be made within 7 days of confirmation of acceptance of your application as a stallholder. ALV will confirm your successful application via email and issue an invoice.

WEATHER

The Spring Vegan Festival is an all weather event and stallholders outside must be prepared for adverse weather conditions.

REFUNDS

A 50% refund will be given for stalls cancelled 60 days prior to the event.
No refund will be given for cancellations within 60 days of the event.

TERMINATION

Failure to comply with these terms and conditions may result in the forfeit of your stall with no refund.
